Actions Available

There are four actions available in the Select an Action list, though not all four actions will appear in every scenario:

  1. Cancel Document –used when a document is no longer required or was issued by mistake and can't be deleted. See Delete action below.

    When a document is cancelled, it:

    • has a status of Cancelled
    • will not appear in reporting calculations
    • can be re-opened for editing
    • is recorded in the Audit Log
  1. Delete – used when a document is holds a status of Initiated and is no longer required.

    Onware maintains an audit trail of all documents created and stored so can only delete a document with a status of Initiated. For more information, see Document Audit Log .

    Caution:If a document can be deleted, no record of the document will exist after deletion.

    Tip: You can see if you are able to deleted a document by selecting Delete From the Select an Action list. If you're unable to delete the document, you will receive an error message.

    You cannot delete a document if:

    • the document no longer has a status of Initiated
    • the document history shows it was previously not in the status of Initiated
    • an E-mail notification of the document has been sent from Onware.
    • the document has record of action items being sent to project participant(s).
  1. Re-open for Editing - used if a document requires mistakes to be fixed. When a document is Re-opened for Editing, the document is returned to the status of initiated and must be re-issued. After a document has been re-issued, all notification will be resent.

    Note: If an action can't be performed because of your role access, an error message will display. Depending on the status, each document will have its own specific available actions.

  2. Send via Transmittal - used to send project documents to another user, with the option of sending it by E-mail. For more information, see Transmittal.
