Project Set-Up Checklist

Congratulations! You’ve been awarded the project tender and are ready to set up your project on Onware!

 

For a smooth and efficient project set-up, we encourage you to review and obtain the below information prior to setting up your project in Onware:

  • Project team list, including details such as: contact information, what Access/Role each team member will represent in Onware, including discipline or trade, if applicable.

  • Will Onware be used to manage the Contract Administration documents affecting the Contract Value, such as Change, , Progress Claim?

    • If so, information on the Contracts, such as: Contract Value(s), Percentage retained, Contractual dates, Contractual reference numbers

Caution:  It is strongly recommended the Contract Value be inputted into Onware prior to the project being activated. The Contract’s Value is used in automatic mathematical calculations detailing how the Contract dollar value changes over time (commonly referred to as the “Revised Contract Value”). If the Contract Value has not been entered into Onware and Change Orders or Progress Claims are created, these calculations will be incorrect.

  • How to represent the Contract Value in Onware?

For Example: Representing the Contract Value information: Contracts can be configured in a number of different ways, delivering flexibility with the level of detail presented and/or calculated in Onware. How Onware categorizes and calculates Contract dollar value information is dependent on how the Contracts are constructed.

For example, one project may configure each Tender Package/Letter of Authorization as an individual Contract. Another project may have all Tender Packages/Letter of Authorizations summarized into a single Contract’s total value.

Note: We strongly recommend exploring the advantages and possible disadvantages of different configuration options of Contracts. Our Client Services team has collaborated with a significant number of project teams and would be happy to discuss Contracts in more depth and would be happy to discuss your project and provide options to consider.

  • Is this project is a “typical/usual” project for your organization, or is it “unique/different/unusual”?

For Example: What makes a project unique, different or unusual? Onware is extremely flexible to meet the needs of all projects. With over 200 settings, customizations such as: document workflow adjustments, Users Access and/or Discipline, drop down selection options, numbering convention, project specific templates/forms (including disclaimers), can be made for your project.Integrations between Onware and third-party software(s) are even possible!

Most customizations are quick and easy to complete by an Administrator; while some may require assistance by your IT department and/or Onware’s Client Services. We strongly recommend exploring the advantages and possible disadvantages of customizations. If you think your project may require a special customization, our Client Services team would be happy to discuss with you in more depth.
  • Is there a project requirement you’ve never encountered before? Contact our Client Services team to discuss further. Our Client Services team has collaborated with a significant number of project teams and would be happy to discuss your project and provide options to consider.

Caution: Adjustment of a setting may significantly impact existing data. As such, it is strongly commended to consult Onware Client Services for further discussion on the potential ramifications.
